At Xplovio (https://xplovio.com), we understand that plans may change. This Cancellation and Refund Policy outlines our terms regarding tour bookings, cancellations, refunds, and changes.
By booking a tour with us, you agree to the terms outlined below.
1. Booking & Payments
- A non-refundable down payment is required to confirm your booking. This amount varies by tour and will be mentioned in your invoice or confirmation.
- The remaining balance must be paid by the deadline communicated to you. Failure to pay on time may result in cancellation without refund.
2. Cancellation & Refunds
If you need to cancel your booking, the following policy applies:
- Cancellation made 14 days or more before the tour start date:
- You will receive a 50% refund of the total tour cost, excluding the non-refundable down payment.
- Cancellation made less than 14 days before the tour start date:
- No refund will be provided.
Please Note:
- Refunds will be processed within 10 business days after receiving a valid cancellation request.
- No refunds will be issued for:
- No-shows or late arrivals
- Unused portions of the tour
- Voluntary withdrawal during the tour
3. Name Changes
- Name changes are allowed, subject to airline or service provider policies and fees.
- We will assist in the process, but airlines may charge a fee or deny changes based on their rules.
- For tours that include flights, changes must be requested at least 10 days before departure.
4. Changes by You
If you wish to modify your booking (such as changing travel dates or accommodations):
- Requests must be made in writing via info@xplovio.com.
- Changes are subject to availability and third-party approval (hotels, airlines, etc.).
- Any additional costs incurred due to changes must be paid by you.
5. Changes or Cancellations by Xplovio
- In rare cases, we may have to cancel or reschedule a tour due to factors beyond our control (e.g., weather, political unrest, insufficient bookings).
- If we cancel a tour, you will receive a full refund, including the down payment.
- If we reschedule, you may choose to:
- Accept the new dates
- Receive a full refund
We are not liable for any additional costs incurred due to cancellation (e.g., visa fees, insurance, travel arrangements made outside the tour).
6. Travel Insurance
We strongly recommend that you purchase comprehensive travel insurance that covers:
- Trip cancellations
- Medical emergencies
- Lost or stolen baggage
- Flight delays or interruptions
Xplovio is not responsible for any losses or additional expenses due to travel disruptions or emergencies.
7. Responsibility & Liability
- Xplovio acts only as an agent for transportation, accommodation, and other third-party services.
- We are not liable for injury, damage, loss, delay, or irregularity caused by third-party providers.
- It is your responsibility to ensure your travel documents (passport, visa, etc.) are valid and in order.
