This policy applies to all tours, packages, and services unless a specific tour page mentions different cancellation terms.
1. Overview
Every Xplovio tour is planned well in advance, and we make early payments for transportation, hotels, permits, ferry tickets, and service providers.
Because these costs are often non-refundable, we follow a structured cancellation policy to cover unavoidable expenses.
2. Standard Cancellation & Refund Policy
➡️ Cancellation Made 10 Days or More Before Departure
- Eligible for 80% refund,
- After deducting any actual expenses already paid on your behalf (such as hotel bookings, ferry/flight tickets, permits, etc.).
➡️ Cancellation Made Within 10 Days of Departure
- No refund will be provided.
- By this time, all arrangements (hotel, transport, ferry, permits) are fully confirmed and paid to vendors.
➡️ No-Show or Midway Exit
- No refund for participants who:
- Fail to report at the meeting point, or
- Leave the tour partway due to personal reasons.
➡️ Unforeseen Circumstances
In case of weather issues, government restrictions, strikes, or safety concerns, Xplovio will try to:
- Reschedule your trip, or
- Offer partial travel credit for a future tour (based on vendor approvals).
3. Refund Process
- Approved refunds are processed within 7–10 business days.
- Refunds are issued only to the original payment method.
- For UPI/bank transfers, travelers must share transaction details for verification.
- Payment gateway fees, bank deductions, and convenience charges are non-refundable.
4. Non-Refundable Components
The following costs are non-refundable once booked or confirmed:
- Flight, train, or ferry tickets
- Hotel reservations or prepayments
- Visa or government permit fees
- Travel insurance
- Service charges and convenience fees
- Third-party activity tickets (safaris, guides, special entry passes)
5. Tour Cancellation by Xplovio
If Xplovio cancels a tour due to unforeseen reasons such as low bookings, weather, accidents, or government orders, travelers may choose:
Option 1:
Full refund, minus irreversible vendor expenses (e.g., flight or permit fees).
Option 2:
Credit voucher valid for 12 months, applicable to any future Xplovio tour.
Travelers will be notified at the earliest, and alternative dates will be offered whenever possible.
6. Group / Corporate / Customized Tour Policy
Group and custom tours involve special bookings.
Cancellation terms may differ based on vendor contracts and will be mentioned in your quote or invoice.
If no specific terms are stated, the standard 10-day policy applies.
7. Modifications & Transfers
- Travelers may request to transfer their booking to another person up to 7 days before departure.
- Name/date changes may involve additional charges depending on vendor rules.
- Transfers are subject to approval.
8. Late or Missing Refunds
If your refund has not been received:
- Recheck your bank/payment account
- Contact your bank or card provider—processing delays may occur
- If still unresolved, email us at info@xplovio.com with:
- Booking ID
- Tour Name
- Refund confirmation message
9. Non-Refundable Situations
Refunds are not applicable for:
- Cancellations made within 10 days of the tour
- No-shows or missed departures
- Partial attendance or leaving midway
- Services already utilized (meals, hotel, tickets, transport, etc.)
- Situations beyond our control where rescheduling or partial credit has been provided
