At Xplovio, we understand that travel plans can change. Our goal is to provide a clear, fair, and transparent cancellation and refund policy for all travelers booking through Xplovio. This policy applies to all bookings made online via our website https://xplovio.com / https://xplovio.com, offline at our office, through WhatsApp, phone calls, email, or any other platform used by our company.

This policy applies to all domestic and international tours, packages, flights, hotels, and services unless a specific tour page or invoice mentions different terms.

Overview

Every Xplovio service is planned and confirmed in advance. We make early payments for transportation, flights, hotels, permits, ferries, activities, guide services, and other operational requirements. Since these costs are often non-refundable and involve strict vendor policies, we follow a structured cancellation policy to cover unavoidable expenses.

  1. Standard Cancellation and Refund Policy

Cancellation Made 10 Days or More Before Departure Eligible for up to 80% refund after deducting actual expenses already paid to vendors.

Cancellation Made Within 10 Days of DepartureNo refund. By this period, all arrangements (flights, hotel, transport, ferry, permits, activities) are fully confirmed and paid to suppliers.

No-Show or Midway Exit

No refund will be issued if a traveler:

Fails to report at the meeting point, or Leaves the tour midway due to personal reasons.

Unforeseen Circumstances

In case of weather disruptions, government restrictions, strikes, technical issues, or safety concerns, Xplovio will make every effort to:

Reschedule your trip, or Offer partial travel credit for future travel (subject to vendor approvals).

Cash refunds may not be possible if vendors do not authorize reimbursement.

Refund Process

Approved refunds are processed to the original payment method.

For UPI or bank transfers, travelers must provide transaction details for verification.

Payment gateway charges, bank deductions, convenience fees, and non-refundable vendor costs will be deducted.

Processing times depend on banks and payment gateways

Non-Refundable Components

The following components are strictly non-refundable once booked or issued:

Flight tickets (domestic or international)

Train or ferry tickets

Hotel reservations or prepaid room blocks

Visa fees or government permit charges

Travel insurance

Service charges and convenience fees

Activities or third-party tickets (safaris, event passes, guides, special entry tickets)

Tour Cancellation by Xplovio

If Xplovio cancels a tour due to unavoidable reasons such as low registrations, extreme weather, operational issues, or government orders, travelers may select:

Option 1:

Full refund, except for irreversible vendor expenses such as non-refundable flights or permit fees.

Option 2:

Credit voucher valid for 12 months, redeemable for any Xplovio tour.

All travelers will be informed as early as possible, and alternate dates will be offered when available.

Group, Corporate, or Customized Tour Policy

Group, corporate, and tailor-made packages involve special rates and advance confirmations.

Cancellation terms may vary and will be clearly stated in the quotation or invoice.

If no additional terms are mentioned, the standard Xplovio 10-day policy applies.

Late or Missing Refunds

If your refund has not been received: Verify your bank or payment account

Contact your bank or card provider regarding pending transactions

Non-Refundable Situations

Refunds are not provided for:

Cancellations made within 10 days of departure

No-shows or missed departures

Leaving the tour midway

Services already utilized (meals, hotels, flights, tickets, transport, etc.)

Situations beyond our control where alternative arrangements or credits have been offered.
